2. Information We Collect
We collect the following information when you use TixBot:
Discord account data
Your Discord user ID, username, and email address when you log in to the dashboard via Discord OAuth.
Server configuration
Settings and preferences you configure for your Discord server, including ticket panel layouts, support roles, and notification preferences.
Ticket content
Messages sent within ticket channels, including text content, usernames, and any information users voluntarily share during a support interaction.
Ticket transcripts
When a ticket is closed, a full transcript of the conversation is saved. Transcripts are stored securely and are only accessible via a unique private link containing a secret token. This link is shared only with the server's support staff and, where configured, with the ticket opener via direct message.
Payment information
If you subscribe to a paid plan, payment is processed by Stripe. We store your Stripe customer ID and subscription status. We do not store card numbers or full payment details.
Usage data
Ticket counts, response times, and activity metrics used to provide analytics features within the dashboard.
3. How We Use Your Data
We use your data for the following purposes:
- •To provide and operate the TixBot service
- •To process subscription payments and manage your account
- •To save and display ticket transcripts to authorised staff and ticket openers
- •To generate analytics and performance metrics for your server
- •To send service-related communications (such as subscription updates)
- •To improve and develop the TixBot platform
- •To comply with legal obligations
4. Transcript Security
Ticket transcripts contain private conversation data. We take the following measures to protect them:
- •Each transcript is assigned a unique, randomly generated secret token at the time of creation.
- •Transcripts are only accessible via a URL that includes this secret token — without the correct token, the transcript cannot be viewed.
- •Transcript URLs are shared only with authorised parties: the server's support staff via the transcript log channel, and the ticket opener via direct message where that feature is enabled.
- •Internally, authenticated dashboard users (server admins with Discord OAuth access) can view transcripts for their own server without requiring the token.
- •We do not make transcript content publicly searchable or indexable.

5. Data Sharing
We do not sell your personal data. We share data only in the following circumstances:
- •With Stripe, our payment processor, to handle subscription billing.
- •With Discord, as required to authenticate users via OAuth.
- •With Railway and Vercel, our infrastructure providers, who host TixBot's database and web application. Both operate under appropriate data processing agreements.
- •Where required by law or to protect the rights, property, or safety of Boost Pirate Ltd, our users, or others.
6. Data Retention
We retain your data for as long as your server is using TixBot or as required to provide the service. Specifically:
- •Ticket transcripts are retained indefinitely unless you request deletion or reset your server data.
- •Server configuration data is retained while TixBot is in your server.
- •Account data is retained while you have an active subscription or dashboard account.
- •You can request deletion of your data at any time by contacting [email protected] or using the Reset Server function in the dashboard Advanced section.
7. Your Rights (UK GDPR)
Under UK GDPR, you have the following rights regarding your personal data:
Right of access
Request a copy of the data we hold about you.
Right to rectification
Request correction of inaccurate data.
Right to erasure
Request deletion of your data.
Right to restriction
Request we limit how we use your data.
Right to portability
Request your data in a portable format.
Right to object
Object to certain types of processing.

TixBot uses session cookies for authentication purposes only. We do not use tracking cookies or third-party advertising cookies.

We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top of this page. Continued use of TixBot after changes constitutes acceptance of the updated policy.
